How quotes are counted
One quote = one quota event. Walkthrough recordings are unlimited — record as many site videos as you need to capture the scope. Quotas only count quote generations: the moment PencilOut turns your scope into a sendable estimate. The work behind it (video transcription, scope-of-work generation, branded PDF) is included in your monthly fee up to your plan's quota.
One quote can pull from multiple walkthroughs (kitchen + basement on different days, for example) and still count as a single quota event. Re-running a quote on the same job for revisions does count as a new quote.
On Pro and Crew, quotes over the included quota bill at a flat per-quote rate — $3 on Pro, $2 on Crew. The Plan & billing page in your account shows every quote you've generated this cycle.
No surprise bills. If you hit your quota on the Free tier, the next quote generation is blocked until you upgrade or the month resets — we don't auto-charge you. On paid tiers, overages roll into the same monthly invoice.
FAQ
Do I need a credit card to start?
No. The Free tier is genuinely free — sign up with your email, no card on file. You'll add a payment method when you upgrade to Pro or Crew.
What counts as a walkthrough vs. a quote?
A walkthrough is one job-site recording — you can stack up to 25 video clips inside it (phone rang mid-record, kid interrupted, "let me walk you through the basement"). Walkthrough recordings are unlimited; they don't count against your plan.
A quote is what counts. When PencilOut turns your walkthrough(s) into a sendable estimate with line items, that's one quota event. One quote can combine multiple walkthroughs into a single bid. Re-running a quote on the same job for revisions is a new quote.
What happens if I run out of included quotes?
On Free, the next quote generation is blocked until your billing cycle resets or you upgrade. (Free cycles are 30 days from when you signed up.) On Pro and Crew, additional quotes charge at a flat per-quote rate ($3 on Pro, $2 on Crew) and roll into your next monthly invoice. Walkthrough recording continues uninterrupted regardless.
Can I cancel?
Anytime, from your Settings page. Cancellation takes effect at the end of the current billing cycle. Any overages incurred up to that point are billed normally on your final invoice.
Can I switch plans mid-month?
Yes. Upgrades take effect immediately and prorate the difference on your next invoice. Downgrades take effect at the end of the current cycle so you keep what you're paying for.
Do you keep my walkthrough videos?
Yes — we store them so you can re-process or reference them later. We don't share them with third parties (except the processors we use for transcription and quote generation, neither of which uses API content for training). When you delete a walkthrough, the file is removed within 30 days. See our Privacy Policy.
Is my customers' data shared?
No. Client names, addresses, and quote details are visible only to your organization's users + the specific client receiving a quote (via the share link). We don't sell or share customer data.
What about really high-volume shops?
Crew handles up to 100 quotes/month included with a low overage rate. If you're consistently sending 250+ quotes a month, email us — we'll set up an annual plan with custom included quota.
